Program Description: Regional Disaster Response Program (RDAP)
Under the RDAP, Amentum will provide comprehensive solutions to build disaster management and disaster risk reduction capacity across 31 countries in Latin America and the Caribbean (LAC) including but not limited to program management, technical assistance, training, and disaster and complex emergency response through leading-edge logistical solutions.
Amentum efforts will include multiple objectives. The first is to lead and coordinate humanitarian assistance responses to complex emergencies and natural disasters across the region by maintaining capacity to analyze emergency impacts, scale, and immediate humanitarian needs while maintaining capacity to deploy first-class trained and operationally ready disaster response staff in each country, procuring emergency response commodities and services, capturing lessons learned and developing and disseminating information related to disaster events and the United States Government disaster risk reduction programing. The second objective is to build capacity of national emergency management systems and other local or regional entities to mitigate, prepare, and respond to disasters by analyzing capacities and applying country-level strategic planning and technically innovative training. The third objective is to deliver an advanced disaster assistance program through highly qualified technical assistance that applies tailored approaches and best practices to implement effective and appropriate response support through a continual improvement model that draws on evidence-based data to guide decisions and activities.
Job Title: Logistics Coordinator
The Logistics Coordinator position will be responsible for managing and optimizing all RDAP logistical arrangements including but not limited to support of programming in technical assistance, training, travel, and disaster response support throughout the LAC region. Operational support during start up and close out will also be required to ensure that RDAP staff across LAC have required equipment to perform necessary duties. The Logistics Coordinator will report to the RDAP Deputy Chief of Party. This position is based in San Jose, Costa Rica.
Key Responsibilities:
Support transportation, travel, movement coordination, and related logistics, including the International and In-Country Travel plans and reporting to BHA/LAC.
Support program staff and visitors with access and security clearance to the USAID/BHA LAC regional office.
Support logistics and coordination of meeting and event planning as required including agenda support and venue and catering arrangements.
Coordinate program meeting logistics including scheduling and maintenance of virtual training and technical assistance
Coordinate shipment of equipment – organize, track, ensure accuracy of shipping documentation and manage relationship with carriers and Amentum.
Manage inventory and maintain physical and virtual document filing systems as necessary.
Responsible for collecting, managing and maintaining updated lists and contact information of vendors (training providers, hotels, emergency response providers, etc.) across the LAC region.
Ensure the maintenance of hard and electronic files.
Performs frequent, no less than once per month, file audits to ensure completeness and accuracy of files and leads all efforts to collect any missing information. Has a file check list completed each month to demonstrate completion of audit exercise.
Responsible for maintaining tracking systems and ensuring complete documentation/repository in a clearly organized file containing comprehensive travel related documents for all RDAP program, including but not limited to: travel authorizations, vouchers, scanned passports, photos, medical evacuation policy information, etc.
Prepares (development, information collection, and update) the monthly International and In-Country Travel Plans (ITP and ICTP) in coordination with the travel assistant.
Serve as back-up to the Travel Assistant to support the program staff in ensuring all travel arrangements, documents, and document processes are compliant for the client and corporate regulations.
Support the data collection and preparation of documents for the Monthly Status Report including but not limited to: Emergency Response and Surge Support Tracker, ITP and ICTP, T&TA reports, and Information Office monthly updates
Provide reporting support, prepare correspondence and documents for Amentum and the USG, as directed by Amentum.
Provide comprehensive logistics support to the RDAP, including but not limited to the training and technical assistance (T&TA) activities, as appropriate.
Provide logistics support during disaster responses, as appropriate.
Follows email maintenance requirements, communications, line reporting and timekeeping protocols, as established by Amentum, and abides by Amentum ethical code of conduct. Takes required trainings on time, as required by Amentum.
Performs other duties as assigned by supervisor.
Qualifications:
Proficiency in Spanish and English Level 4 minimum required, Level 5 preferred.
Bachelor’s degree preferred or commensurate professional experience
1-4 years of office experience
Strong organization skills and ability to multi-task.
Demonstrated proofreading skills with excellent attention to detail.
Position requires the ability to work in high pressure situations occasionally exceeding normal business hours.
Must have strong verbal and written communication skills as well as the ability to work independently or in a team environment.
Knowledge of disaster response industry and programming preferred
Knowledge of USAID programming preferred.
Proficiency in Excel and other MS Office programs preferred.
