Position Title: Executive Assistant & Office Lead (Canberra & Sydney)
Location: Sydney (with responsibility for Sydney and Canberra office operations)
Employment Type: Part‑time (60% LOE)

Role Purpose

The Executive Assistant & Office Lead provides high‑level executive support to the Managing Director and Leadership Team while ensuring the effective day‑to‑day operation, governance, and presentation of the Canberra and Sydney offices.

This role is trusted, highly autonomous, and pivotal to enabling leadership effectiveness, maintaining operational discipline, and presenting a professional, well‑run office environment aligned to corporate, security, and client expectations.

Key Accountabilities 1. Executive & Leadership Support

  • Provide proactive, confidential executive assistance to the Managing Director, including complex diary management, email prioritisation, travel coordination, and preparation of briefings and papers.
  • Support the broader Leadership Team with meeting coordination, agenda preparation, action tracking, and follow‑up.
  • Act as an effective gatekeeper, managing competing priorities, anticipating issues, and ensuring time is focused on high‑value activities.
  • Prepare correspondence, reports, presentations, and executive submissions with a high standard of accuracy and judgement.
  • Coordinate leadership meetings, offsite/site visits, and key internal events, including logistics and materials.
  • Manages Travel bookings and expense claims for leadership team and conduct monthly reconciliations of Credit Cards

2. Office Lead – Canberra & Sydney

  • Act as the primary point of accountability for the effective operation and presentation of the Canberra and Sydney offices.
  • Coordinate office services including facilities, access cards, security, meeting rooms, and visitor management.
  • Liaise with Amentum Real Estate team, landlords, property managers, and service providers to ensure issues are promptly resolved.
  • Maintain office readiness for leadership visits, customer engagements, audits, and external stakeholders.
  • Oversee general office supplies, contracts, and basic budget tracking related to office operations.

3. Governance, Compliance & Security Support

  • Support compliance with corporate, Defence, and government security requirements (e.g. visitor protocols, document handling, secure meetings).
  • Maintain controlled records, registers, and leadership documentation in accordance with internal management system requirements.
  • Support audits, reviews, and inspections by ensuring documentation, scheduling, and office arrangements are in order.
  • Handle sensitive and classified information with discretion, professionalism, and sound judgement (subject to clearance requirements).

4. Stakeholder & Communication Management

  • Act as a key interface between the Managing Director, Leadership Team, staff, and external stakeholders.
  • Draft and coordinate internal communications on behalf of leadership where appropriate.
  • Build strong relationships across the business to facilitate smooth information flow and issue resolution.

5. Continuous Improvement & General Administration

  • Identify and implement improvements to executive support processes, office operations, and ways of working.
  • Provide ad‑hoc administrative, coordination, and project support as required by leadership.
  • Support corporate initiatives, change activities, and growth phases where executive coordination is critical.

Key Skills & Experience Essential

  • Demonstrated experience as an Executive Assistant supporting senior executives or leadership teams.
  • Strong judgement, discretion, and ability to handle highly sensitive and confidential information.
  • Excellent organisational skills with the ability to manage competing priorities in a fast‑paced environment.
  • High proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams).
  • Professional communication skills, both written and verbal.
  • Proven ability to work autonomously while maintaining strong alignment with leadership intent.

Desirable

  • Experience in a Defence, government, engineering, or regulated professional services environment.
  • Experience acting as an office or facilities lead across multiple sites.
  • Familiarity with security‑aware environments and compliance‑driven organisations.
  • Ability to obtain and maintain an Australian Government security clearance (or willingness to do so).
