Purpose and Impact:  

​​The HR Coordination Specialist - REMOTE serves as a critical operational and advisory bridge for our international program. This dual-function role blends high-level US compliance and process advisory for on-site HR Generalists with hands-on accountability for HRIS data integrity and talent onboarding. Acting as a standalone US-based anchor, the Specialist ensures that prospective US personnel destined for international assignments are compliant and system-ready, while maintaining seamless workflow coordination across global time zones.​ 

Work Schedule:  

​​Day shift – 5 days per week, 8 hours per day​  

Essential Responsibilities:  

​​US Process Advisory & Guidance 

  • Operational Advisory: Provide corporate process guidance and operational advice to on-site international HR Generalists regarding US-specific HR administrative workflows, timelines, and documentation frameworks. 

  • Onboarding Strategy: Engage in the end-to-end corporate onboarding lifecycle for US-based staff preparing to mobilize to international project locations. 

  • Compliance Safeguarding: Ensure foundational US employment administration compliance prerequisites, ensuring all pre-mobilization checks meet strict organizational baselines. 

  • Escalation Point: Act as the primary, autonomous US-based point of contact for program leadership resolving complex deployment coordination issues within US time zones. 

  • Employee Relations Support: This position does not conduct formal Employee Relations (ER) investigations. However, the specialist may provide advisory, corporate communication, and/or administrative process and documentation support to the international staff on request.

HRIS Data Integrity & Systems Architecture 

  • Data Auditor: Assist in maintaining data integrity lifecycle for the US worker cohort within the global HRIS platform (Workday), running routine audits to eliminate system errors or data lag. 

  • ​Requisition Processing: Execute HRIS system requisition actions supporting the remote recruiters; tracking data entry accuracy from initial job profile assignment through to global mobilization data tracking. 

  • Reporting & Metrics: Generate routine workforce data integrity reports, utilizing systems analytics to flag administrative bottlenecks or documentation compliance gaps. 

 

Talent Mobilization & Operational Coordination 

  • Cross-Border Coordination: Assist the on-site Candidate Management Specialist in the coordination and tracking of US-based candidates as requested, including pre-employment medical clearances, drug and alcohol screening, and regional compliance checkmarks​ 

 

Work Environment, Physical Demands, and Mental Demands: 

  • It is a condition of employment that the employee maintains adequate medical clearance applicable to this role. 

  • Physical Demands: Desk-based, predominantly sedentary role requiring prolonged use of computers, integrated office applications, and corporate systems. Occasional handling or lifting of office materials up to 10lbs (5kg). 

  • Mental Demands: High cognitive demand requiring rapid context-switching, sharp attention to detail, and analytical problem-solving when balancing urgent front-facing stakeholder inquiries against rigorous data compliance tasks. 

  • Schedule & Time Zone Alignment: This role requires the ability to self-adjust daily working hours flexibly to meet the operational needs of the program across global time zones. Hours may fluctuate daily (e.g., working 6 hours one day and 10 hours the next), but must be managed strictly within a maximum of 40 hours per single workweek. Any hours exceeding 40 in a single designated workweek will constitute overtime and must be pre-authorized by leadership in accordance with FLSA regulations. 

 

Minimum Requirements (Knowledge, Skills, and Abilities): 

Minimum Essential 

  • Systems Expertise: Advanced operational proficiency in Workday (or an equivalent global enterprise HRIS platform), with a proven track record of maintaining strict data governance and managing job profiles. 

  • Global/Expat Mobility Exposure: Previous exposure to international assignments, expat mobilization, or cross-border logistics coordination is highly regarded. 

  • Autonomy & Time Zone Alignment: Demonstrated ability to work entirely remotely with minimal oversight, maintaining a high volume of output while bridging communication lines between the US and international project sites. 

  • Communication: Exceptional universal written and spoken English language skills, capable of translating complex administrative requirements to diverse international stakeholders. 

  • Technology Skills: Strong operating knowledge of SharePoint, Microsoft Office Suite, and integrated software applications. 

  • Discretion & Problem Solving: Demonstrated high level of problem-solving, analytical skills, and the capacity to maintain total confidentiality regarding business operations and labor-management strategies. 

  • Licensing: Current valid, unrestricted US Driver’s Licence. 

  • Documentation: Possession of a valid US Passport to facilitate potential short-term international temporary assignment mobilization for site program business needs. 

Highly Desirable 

  • Industry Context: Experience supporting defence industry programs, aerospace, heavy industry, or government contracting environments. 

  • Matrix Operations: Proven success operating within a dual AU/US corporate matrix or supporting multinational personnel tracking. 

  • Compliance Knowledge: A foundational, basic understanding of both the Australian Fair Work Act and the United States Fair Labor Standards Act (FLSA)

Security Clearance Required: 

  • ​​Required: Minimum Active or ability to obtain a U.S. Department of Defence (DoD) Secret Security Clearance, and the ability to maintain that clearance. Depending on ongoing mission requirements and access parameters, the candidate may be required to obtain a higher U.S. Top Secret clearance.

Minimum Education: 

  • Bachelor’s degree in human resources, business administration, or a related field; equivalent foundational experience and professional certifications (such as SHRM-CP or PHR) will be highly evaluated. 

Minimum Years of Experience: 

  • Minimum of 4–6 years of progressive HR experience, demonstrating a clear trajectory from hands-on HR coordination into a consultative or advisory generalist capacity.

Compensation Details:

$38-46 hourly USD
