This is the information from Amentum’s Human Resources Information System for job applicants and serves as a privacy notice for candidates. Please keep a copy of this document. 

 

Responsible body: 

The Amentum company that published the job opening you are applying to is responsible for the collection and processing of your personal data. The questions asked during your online application are required to carry out the application in accordance with applicable local data protection laws. Your processed personal data: 

We collect, use, disclose and otherwise process personal data that is necessary to process your application for employment. We may collect, use, disclose and otherwise process the following categories of personal data:

  • Main identifiers: name, alias, postal address, unique personal identifier, online identifier, Internet Protocol (IP) address, email address, account name, social security number, national identification number, driver’s license number, passport number or other similar identifiers.
  • Other Identifiers:  signature, physical characteristics (e.g., photographs, recordings of virtual interviews, footage of security cameras on Amentum properties), telephone number.
  • Characteristics of protected classifications under applicable law: race, national origin, gender (including pregnancy), disability, date of birth which relatedly reveals age, citizenship (if the role requires this information), gender identity and gender expression.
  • Internet or other electronic network activity information: browsing history, search history and information regarding your interaction with our websites.
  • Geolocation: approximate geographic location.
  • Professional or employment-related information: for instance, your resume/curriculum vitae for the position you are applying for, information about your specific qualifications for that job, information about your current and previous employment, professional credentials, references, answers to questions and information that you provide when you apply for a role.
  • Education information: Education history, degrees obtained.
  • Sensitive personal data: Personal data that reveals national identification, social security, driver’s license, state identification card or passport number; personal data that reveals racial or ethnic origin. Please note that we do not use or disclose the above sensitive personal data for any purpose other than those permitted under applicable law.

In addition to the personal data (including the sensitive personal data) listed above, if the position you are applying for requires a government security clearance or access to controlled facilities, additional personal data may be collected in accordance with the relevant government agency’s requirements (e.g., the U.S. Office of Personnel Management’s Questionnaire for National Security Positions). The additional personal data may also include but not be limited to, whether you previously had a security clearance or access denied, suspended, placed on inactive or revoked, whether your immediate family members, those you currently live with are non-U.S. citizens or hold dual citizenships, whether you have foreign property, business connections, or foreign financial interests, whether you have relatives appointed, elected, employed by a foreign government, whether you have had any contact with a representative of a foreign government, whether you’ve traveled to a foreign country in the last seven years, and your criminal history.

 

We will process your personal data to consider you for employment at Amentum, administer any pre-employment activities, pre-screen you for security clearances, prepare and maintain legally required records, detect security incidents, protect against malicious, deceptive, fraudulent or illegal activity and prosecute those responsible for that activity. We will also process your personal data for related administrative purposes (e.g., scheduling interviews), to maintain our candidate recruitment database, to provide information to potential customers regarding the candidates that may be available to fulfill their job requirements, for internal reporting and recordkeeping purposes, to satisfy tax and legal compliance obligations, and to communicate with you throughout the recruitment process. If you do not provide the personal data we request, we may be unable to process your application or assess your suitability for the role.

 

We collect this information from you directly or from other sources (e.g., recruiting firms and third-party platforms to whom you entrusted your application data to facilitate your application). We may also collect additional personal data about you from third parties such as recruitment agencies, publicly available professional profiles, background check agencies or references that you have provided. Finally, we will also collect and process any other data you provide us voluntarily during your application process. The legal basis for the processing of your data is the performance of your potential employment contract and local data protection laws regarding recruitment and employment. If you voluntarily provide us with additional personal data, we process this information based on your revocable consent.

 

You may consent for your data to be stored in our recruiting system to allow us to consider you for future job opportunities. You can withdraw this consent at any time by contacting PrivacyQuestions@amentum.com. Upon withdrawal, your data will be deleted without undue delay in accordance with applicable data retention laws and policies. If you do not provide this voluntary consent, your data will only be shared with the recruiter, hiring manager, and others on the candidate review committee who are responsible for processing your current application. We may also process your personal data if required or authorised by local laws to ensure fair work or other applicable workplace legislation.

 

Disclosure & Transfer of Your Personal Data: 

We may transfer your personal data to third parties or service providers but will only do so if there is a legal basis. These third parties may include website analytics providers, information technology service providers, or vendors who provide archival or destruction services for us. We will only transfer your personal data after having entered into data processing agreements with such providers. We may also provide the results of our pre-screening of you for security clearance purposes to the relevant government agency that you may work on site for.  In addition, there may be situations when we may be required to transfer personal data to other third parties to comply with legal obligations (e.g., when we receive subpoenas or other requests from law enforcement), to enforce our legal rights, in response to external auditors, to support our compliance and corporate governance functions, and to pursue or defend available legal remedies. We only transfer personal data outside of your jurisdiction after we have confirmed that the recipient is either located in a country that provides an adequate level of protection and/or the recipient has executed applicable Standard Contractual Clauses in accordance with relevant data protection laws. We may also transfer your personal data based on your consent or exceptions permitted under local data protection laws. Finally, we also engage a third-party recruitment management and applicant tracking service provider to host and manage our recruitment platform. As a result, your personal information may be stored on secure servers located in the United States of America. 

 

Data Transfers to Third Countries: 

Our company is part of an international group of companies. Responsibility for data management of personnel is shared by multiple departments, companies and countries. Under certain circumstances we may transmit your personal data to countries outside of the country where you are located. Such transfers occur within our group of companies or, as described above, to our service providers. As with service providers, if we transfer your personal data to an Amentum company located outside of your country, the transfer will only take place if the country that receives the data has been confirmed by the respective data protection authorities to have an adequate level of data protection, appropriate safeguards has been agreed with the data recipient (e.g., standard contractual clauses) and/or if permitted by applicable local laws.

 

Data Retention: 

Amentum will retain the personal data (including sensitive personal data) described above for as long as necessary to fulfill the purpose for which it was collected or as required by applicable laws, regulations, and company policies. If you are hired, your application data will be kept in your personnel file for the establishment and fulfilment of the employment relationship. We also erase data if you withdraw your consent to the processing of your data. Further storage of your data may occur if additional processing is necessary for the assertion, exercise or defence of legal claims.

 

Your Rights:

Depending on the location of the Amentum company that published the job opening you are applying to, you may be entitled to exercise the following rights in accordance with applicable laws:

  • Obtain information from Amentum about your personal data
  • Correct or delete (e.g. if the data is no longer required for the purposes pursued) your personal data
  • restrict the processing of your personal data
  • request portability of your personal data
  • object to the processing of your personal data.

In addition, you have the right to lodge a complaint with the relevant data protection authority if you believe that the processing of your personal data violates applicable data protection laws. Your complaint may be lodged with the data protection authority in the country of your residence, workplace or the country where the alleged infringement occurred.

 

California Residents:

If you are a California resident, you have the following rights under the California Consumer Privacy Act of 2018, as amended by the California Privacy Rights Act of 2020 (“CPRA”):

Right to Know: You have the right to request that we disclose what personal data we collect, use, disclose, sell or share. Specifically, you may request that we disclose to you the following:

  • The categories of personal data we have collected about you.
  • The categories of sources from whom the personal data is collected.
  • The business or commercial purpose for collecting selling or sharing personal data. 
  • The categories of third parties with whom we disclose personal data.
  • The specific pieces of personal data we have collected about you.

You may also request that we disclose to you:

  • The categories of personal data that we have sold or shared about you and the categories of third parties to whom the personal data was sold or shared, by category or categories of personal data for each third party to whom the personal data was sold or shared.
  • The categories of personal data that we disclosed about you for a business purpose and the categories of persons to whom it was disclosed for a business purpose.

Right to Delete: You have the right to request that we delete any personal data about you which we have collected from you. If it is necessary for us to maintain your personal data for certain purposes, we are not required to comply with your request for deletion. If we determine that we will not delete your personal data in response to your request, we will inform you and tell you why we are not deleting it.

Right to Opt-Out of Sale or Sharing: You have the right to direct a business that sells or shares personal data about you to third parties not to sell or share your personal data. We do not sell your personal data for monetary consideration and do not engage in targeted advertising. However, we do use cookies, web beacons and other tracking technologies on Amentum’s public facing website for website analytics purposes. The collection of data through certain tracking technologies for website analytics purposes may be considered a “sale” under the CPRA. This data collection is not directly related to your relationship to Amentum as a job applicant but may be collected from any user of our websites generally  as set forth in our general Privacy Statement, located at https://www.amentum.com/privacy-policy/. To opt-out of having your information sold with third-party website analytics service providers, visit our “Do Not Sell or Share My Personal Information” web page.

Amentum does not knowingly sell or share the personal data of individuals under the age of 18. 

Right to Correct Inaccurate Personal Data: You have the right to request a business that maintains inaccurate personal data about you to correct that inaccurate personal data, taking into account the nature of the personal data and the purposes of the processing of the personal data.

Right to Limit the Use and Disclosure of Sensitive Personal Data: You have the right to direct a business that collects sensitive personal data about you to limit its use of your sensitive personal data (1) to that use which is necessary to perform the services or provide the goods reasonably expected by an average consumer who requests those goods or services; (2) for certain business purposes; and (3) as authorized by the implementing regulations of the CPRA. As stated above, we do not use or disclose your sensitive personal data for any purpose other than those permitted under applicable law, including the CPRA.

No Discrimination: You have the right not to be discriminated against because you exercised any of your aforementioned rights, including not to be retaliated against for exercising such rights.

To submit a verifiable request, you will be asked to provide certain information to help us verify your identity. The information we ask you to provide to initiate a request may differ depending upon the type of request, the type, sensitivity and value of the personal data that is the subject of the request, and the risk of harm to you that may occur as a result of unauthorized access or deletion, among other factors.

You may designate an authorized agent to make a request on your behalf by providing the agent with signed written permission to do so. If we cannot verify your identity or authority to make the request, we will not be able to comply with your request. We will inform you if we cannot verify your identity or authority. We will only use personal data provided in a verifiable request to verify the requestor’s identity or authority to make the request.

Automated individual decision-making:

Amentum does not make employment decisions based exclusively on automated processing.

 

Measures to protect your data:

Amentum has implemented technical and organizational measures to protect your personal data. These include controls regulating access to server rooms and office premises, and a defined process requiring authentication before accessing business systems (e.g. with passwords meeting minimum state-of-the-art length and complexity requirements). In addition, Amentum has implemented measures for the security of paper documents, mobile data carriers, and mobile devices. This includes the use of secure physical disposal of documents and encryption of devices. Data transfers are secured and encrypted whenever possible. We also maintain backup and emergency procedures, virus protection, and other safeguards to protect network security and connectivity.
