We are currently seeking a Project Controls Administrative Assistant to support our Spent Fuel Handling Project.

This project is located at the Naval Reactors Facility on the Idaho National Lab property. The Administrative Assistant role supports the Project Controls Manager and the broader Project Controls team by providing high‑level administrative, organizational, and coordination support.

Key Responsibilities

  • Provide daily administrative support to the Project Controls Manager, including calendar management, meeting scheduling, and correspondence handling

  • Apply strong time‑management skills to prioritize tasks, manage deadlines, and ensure timely completion of administrative and project-related activities

  • Assist with preparing, formatting, proofreading, and distributing project documentation, reports, and presentations

  • Maintain and organize project files, logs, and records to ensure accuracy, accessibility, and compliance with company standards

  • Coordinate project meetings, including preparing agendas, recording minutes, tracking action items, and following up on assigned tasks

  • Facilitate communication between project teams, procurement, and other internal departments

  • Support the Cost Management group by collecting and verifying cost data, assisting with cost reports, and organizing documentation

  • Assist with procurement and contract administration tasks such as purchase requisitions, tracking purchase orders, and maintaining vendor documentation

  • Manage office supplies, resources, and general administrative logistics for the department

  • Support onboarding new project personnel by coordinating training sessions and maintaining access documentation

  • Perform other administrative duties as assigned to support effective project planning and execution

Required Qualifications

  • Experience in administrative support, preferably within project controls, engineering, construction, procurement, or related project‑based environments

  • Must be able to show proof of US citizenship (to comply with government customer requirements and/or applicable government regulations)

  • Strong organizational skills with the ability to manage multiple tasks and priorities.

  • Excellent written and verbal communication skills

  • Proficiency with Microsoft Office tools

  • High attention to detail, accuracy, and confidentiality

  • Ability to work independently and collaboratively with diverse teams

Preferred Qualifications

  • Experience with project controls processes such as scheduling, cost tracking, and reporting

  • Familiarity with procurement or contract administration workflows

  • Strong analytical and problem‑solving abilities

Physical Requirements: 

  • Must be able to sit, walk, stand, bend, squat, climb, kneel, twist, and lift. Lifting requirements limited to 25 lbs. in the form of supplies, drawings, etc. Longest distance carried of 50 feet. Hand manipulation is required for simple grasping, pushing, and pulling, and fine manipulation. Right and/or left hands utilized. Occasional need to reach and/or work above the shoulder, for supplies, as well as below the shoulder for same. Must be alert to hazards in the field.

       

Compensation Details:

$26/hour - $32/hour

Actual compensation may vary based on factors such as job responsibilities, education, experience, skills, internal equity, market data, applicable collective bargaining agreements, and relevant laws.
