Amentum is expanding its Integrated Delivery Solutions (IDS) team in Poland, and we are looking for a Senior Document Controller to support major EU projects. This is an exciting opportunity to join a rapidly growing capability and play a key role in delivering high-quality, well-governed information management for complex engineering and infrastructure programmes. As a senior specialist, you will bring deep technical expertise to help shape and deliver document control solutions across multi-disciplinary international projects. You will work independently, solve complex issues, and guide others in applying best practices and established procedures.

The selected candidate will be employed by Critical Mission Services Sp. zo.o., part of Amentum.

About The Role 

The Senior Document Controller provides experienced document control support to Amentum projects (primarily in the EU), ensuring documents are managed, controlled, and issued in line with internal procedures, client requirements, and contractual standards. This role requires strong hands-on experience in document control operations, including effective use of Electronic Document Management Systems (EDMS), particularly ProjectWise. As a senior practitioner, you will work with limited supervision, resolve routine to moderately complex issues, and support consistent document control practices across projects. You will act as a reliable point of contact for document control activities on assigned projects and support continuous improvement initiatives under the guidance of more senior specialists or functional leadership.

Key Responsibilities:

  • Provide senior level document control support to projects, ensuring compliance with internal procedures, contracts, and client requirements. 

  • Apply document control procedures, workflows, and governance consistently across projects using EDMS (including registration, version control, metadata, workflows, and controlled distribution). 

  • Maintain accurate document registers, transmittals, and audit trails to ensure end to end traceability. 

  • Coordinate document exchanges with engineering, procurement, construction, and client teams to support timely review and approval cycles. 

  • Resolve document control issues using defined tools, systems, and procedures, escalating where appropriate. 

  • Produce routine status and performance reporting on project documentation. 

  • Support internal and external audits, quality checks, and compliance reviews throughout the document lifecycle. 

  • Assist with onboarding project and client users to document control systems and ways of working. 

  • Contribute to continuous improvement of document control templates, procedures, and practices. 

  • Collaborate with multi disciplinary and international teams to promote effective information management.

Here Is What You Will Need:

 

  • Degree in a relevant discipline or equivalent professional experience.

  • Several years of experience in document control or information management roles.

  • Strong practical experience using ProjectWise for document management on projects (required).

  • Experience in regulated or structured project environments (e.g. infrastructure, energy, engineering) is an advantage.

  • Proficiency with Electronic Document Management Systems (EDMS) and Microsoft Office 365.

  • Fluent spoken and written English (B2 level or higher)

  • Demonstrated ability to resolve standard and moderately complex document control issues using established best practices.

  • Able to work independently on daily tasks while escalating non‑standard or complex matters as needed.

  • Strong collaborator, effective within cross‑functional and project teams.

  • Clear, professional written and verbal communication skills, with the ability to explain document control requirements to stakeholders.

  • High attention to detail, ensuring document accuracy, consistency, and audit readiness.

  • Proactive mindset with willingness to suggest continuous, incremental improvements to processes and tools.
