This role involves performing a wide range of administrative, record-keeping, and manpower assignment tasks to support the Forward Deployed Regional Maintenance Center (FDRMC) detachment in Rota, Spain. You will be responsible for tracking, assigning, and reporting on CASREP and AWR resolution functions, compiling data for reports, and supporting both military and civilian organizations. The position includes clerical duties, managing ship equipment repair processes, coordinating risk assessments, and handling logistics for material procurement and customs approval. Proficiency in Microsoft Office and experience with DoD policies are required, while familiarity with various databases and procurement processes is highly beneficial.

Essential Responsibilities:

  • Assist FDRMC with tracking, assigning, executing, and reporting CASREP and AWR resolution functions.

  • Compile data into reports and spreadsheets for use by both military and civilian organizations during meetings and conferences.

  • Perform clerical duties such as transcribing reports, scheduling meetings, and processing FTS jobs related to ship equipment repair and fleet technical support.

  • Prepare weekly planning status reports, including work item preparation status and milestone adherence for all availabilities.

  • Track CASREP statuses for all jobs managed by FDRMC and facilitate communication with other RMCs to ensure seamless job transitions between 5th, 6th, and 7th Fleet AORs.

  • Develop detailed work specifications, cost estimates, and material requirements for overhauls and repairs, ensuring quality assurance is incorporated.

  • Coordinate the scheduling of availability risk assessments and ensure timely reporting of risk documentation milestones.

  • Manage logistics, including customs approval and coordination with NAVSUP and DCMA for contractor-held materials.

  • Support FDRMC in the evaluation of contractor policies related to government property management and oversee the disposal of hazardous materials, scrap, and other inventory.

  • Assist with procurement and monitor Government Furnished Material (GFM) availability to support the production schedule.

Minimum Requirements:

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).

  • Knowledge of DoD classification derivation policies, cybersecurity policies, and CASREP handling procedures as outlined in COMUSFLTFORCOMINST 4790.3.

  • Experience with record-keeping, tracking of work statuses, and preparation of reports for military or civilian organizations.

  • Familiarity with web-based databases such as NMD, FTS, MFOM, and Microsoft Access for data entry and reporting.

  • Strong organizational and communication skills for coordinating meetings, risk assessments, and logistics.

  • Must have an active Secret US Government Clearance. Note: U.S. citizenship is required to maintain a secret clearance.

Preferred Qualifications (not required):

  • Experience with ship repair schedules, resource management, and the development of work specifications.

  • Knowledge of the Joint Fleet Maintenance Manual (JFMM) and experience handling CASREP procedures.

  • Familiarity with SQL-based databases, server-based SharePoint systems, and file management in shared drives.

  • Experience coordinating logistics in accordance with customs regulations, especially for international material imports.

  • Previous experience working with the Defense Logistics Agency (DLA) and Fleet Logistics Center (FLC) for material procurement and disposal.
