Maintenance Planner/Scheduler Coordinator

Amentum is seeking an experienced Planner/Scheduler/Coordinator for our maintenance team in Richmond, VA. This position’s primary function is to plan and schedule preventive and corrective maintenance tasks for a team of facility maintenance technicians.
The Planner/Scheduler/Coordinator also acts as liaison between Amentum staff, subcontractors, and client for the performing of maintenance work orders. In addition, this position will work with technical leads and technicians to prioritize and plan work according to facility requirements.
Typical work schedule is Monday-Friday, 7:30am - 4:00pm; various hours may be required based on business demand.
Responsibilities:
- Distribute Preventive Maintenance (PM), Corrective Maintenance (CM), and planned work orders in the form of a weekly schedule and assist with subcontractor job coordination.
- Communicate the schedule to maintenance technicians and provide necessary instructions and documentation to ensure smooth execution of tasks.
- Monitor progress of work orders, update statuses, and address any issues or delays that may arise during the execution.
- Coordinate with the O&M team to ensure that maintenance activities are scheduled in a way that minimizes disruptions to production.
- Facilitate weekly scheduling meeting and attend other meetings as required.
- Coordinate availability of facilities assets for maintenance and repair work.
- Ensure timely completion of work and compliance with safety standards.
- Create/update PM frequencies and job plans within the Computerized Maintenance Management System (CMMS).
- Create, update, and modify locations and assets in the CMMS.
- Research parts, order parts, and follow up on parts arrivals according to planned schedule. Reserve parts/materials to work orders for kitting, if applicable.
- Analyze and report out on work order data/trends such as PM compliance, backlog, response and completion times, labor metrics, and additional reports as requested for monthly reporting to client, Area Manager, and/or Supervisor.
- Lead daily scheduling meeting and weekly work order scheduling/coordination meeting.
- Work with the Supervisor, Lead, Technicians, and Procurement to ensure accurate and timely communication with the requestor(s) regarding status of work orders such as: awaiting parts, on hold, or rescheduled work.
- Provide management and direction for subcontractor work and direct interface with subcontractors in day-to-day activities. May be asked to obtain quotes from subcontractors.
- Demonstrate a strong understanding of skilled crafts such as carpentry, electrical, plumbing, HVAC, etc.
- Comply with established safety and environmental policies/procedures such as job hazard analysis/task hazard analysis, lockout/tagout, odor notification permits, hot work permits, and the use of PPE.
- Perform under minimal supervision and exercise independent judgment in problem resolution.
- Comply with Good Manufacturing Practices (GMP).
- This position has on-call responsibilities. Respond to emergency calls (by phone or in person) during off-hours and determine resources needed to mitigate problems.
- Assist with budget development and budget management/tracking.
- Manage iPad inventory and help resolve issues with the CMMS mobile application used by technicians.
- Perform other duties as assigned by Management.
Minimum Requirements:
- Bachelor's degree in facility management, business administration, engineering, or related technical field with no work experience; OR
- Associate degree in facility management, business administration, engineering, or related technical field plus 3 years of experience in Industrial Facilities or Production Maintenance related work; OR
- Five years of experience in Industrial Facilities or Production Maintenance related work with no college education.
- Experience utilizing a CMMS and Microsoft Office programs such as Excel, Outlook, Word, and PowerPoint.
- Strong communication skills, both verbal and written.
- Strong organizational and prioritization skills.
- Ability to work independently and as part of a team.
- Requires the ability to interact with client, subcontractors, and employees in a professional and friendly manner despite periods of stress.
- Ability to proactively identify potential problems or opportunities, analyze issues, and develop alternatives/solutions.
- Must be willing to work outside regular working hours when required, including holidays and weekends.
- Must be able to obtain and maintain facility/security credentials/authorization. Note: US citizenship or Permanent Residency is required for facility credentials/authorization at this work location.
- This position does not include sponsorship for United States work authorization.
- This position requires a valid driver’s license issued by the Department of Motor Vehicles.
Some Physical/Special Requirements Include:
- Wear steel toe safety shoes, safety glasses, gloves, hard hats, and other Personal Protective Equipment as needed.
- Cope with demands (stressors) that are associated with the job and/or the work environment.
- Some tasks will require repetitive wrist movements.
Preferred Qualifications:
- Certification or formal training from facilities maintenance organizations such as IFMA, SMRP, AFE, or BOMA.
- Experience working in a GMP or similar regulated environment.
- Experience utilizing CMMS - Maximo Application Suite.
- Ability to write processes and procedures related to facility maintenance work.
- Ability to use project management applications and other resource scheduling applications.
- Practical experience with continuous improvement techniques.
