About the Opportunity
Amentum is a global leader in engineering, project management, and technical services, delivering innovative solutions across various industries. Our London office plays a key role in supporting major global projects.
We are looking for a fun, caring, and passionate individual to provide comprehensive administrative support and manage reception operations within Amentum’s London office. This role is primarily focused on day-to-day project/business administration, ensuring office processes run efficiently and accurately, while also supporting front-of-house activities.
This role is based in our London Bridge office, with the requirement being in the office 5 days per week. Key responsibilities will be:
Provide comprehensive project administration support to personnel/projects based in the London office and associated site-based teams, ensuring accurate coordination and compliance with internal controls and procedures.
Strong communication skills, with the ability to clearly convey information, manage enquiries, and build effective working relationships across project and business teams, as well as in interactions with the client.
As required, provide cross-project and business-wide administrative support to the greater Energy Division, liaising with internal departments, to support efficient project and business operations.
Deliver a broad range of project administrative services, including data entry (maintain and update project trackers, logs, and databases, ensuring information is accurate, current, and audit-ready), document control (as required), filing, correspondence management, diary coordination, and project and business travel (including bookings, approvals, itineraries, and reconciliation, ensuring compliance with travel and project controls).
Administer and monitor timesheets, expenses, and associated project records, ensuring timely submission, accuracy, and adherence to company and client policies.
Schedule project meetings, manage calendars, prepare agendas, coordinate meeting rooms, and track actions to support effective project delivery and governance.
Maintain accurate project and office administration records, including managing and delivering project and office inductions, system access, and onboarding logistics for new starters access logs, timesheet setup, and compliance documentation.
Coordinate project communications and logistics, including internal notifications, document distribution, mail handling, courier coordination, and delivery tracking.
Answer, screen, and direct incoming calls, managing project-related enquiries and escalating appropriately to minimise delays.
Act as the first point of contact for visitors and project stakeholders, ensuring a professional and well-managed reception experience.
Support office and project security processes, including access requests, visitor coordination, and induction records, in line with security and onboarding requirements.
Support ad-hoc project administration tasks and continuous improvement activities, contributing to efficient day-to-day operations and strengthened project controls.
