The Senior HR Specialist performs a variety of routine Human Resources and administrative duties. Offers guidance and oversight to junior team members. Provides courteous service and assistance to personnel. Maintains files of correspondence, contract documents, financial documents and other records. Advises and informs personnel in regards to DI policies and procedures. Ensures compliance with Performance Work Statement (PWS) and Amentum ISO 9001 Quality Management system (QMS).

Principal Accountabilities

  • Organization of Office Operations and procedures IAW Company's Standard Operating and Administrative Procedures.
  • Exercises judgment on routine administrative matters and allocate work according to priority.
  • Efficient delegation of work to optimize the strengths and skills of administrative staff in support of work requirement.
  • Responsible for mentoring and providing to guidance as well as identifying development needs of junior or administrative team members.
  • Carries out detailed research into administrative procedures and services given to the customer, providing factual and accurate information to improve the service provided.
  • Monitoring and checking of leave applications and updating computerized leave records and all other HR documentation.
  • Monitors ECA/COR and other Site Visitors and coordinate with Housing Staff on accommodation requirements.
  • Ensures No Objection Certificate (NOC) details in respect of authorized company personnel, new arrivals and family visits are officially processed.
  • Works with local sponsor or PRO to process passports, visa, resident cards and drivers license renewals and other associated documentation.
  • Liaises with Asian Recruitment Agencies on recruitment of Asian employees.
  • Liaises with PMO on Recruitment procedures of Western employees.
  • Monitors and completes routine booking and confirmation of all company requirements in respect of air travel arrangements as needed both domestic and international.
  • Responsible for inserting additional data on file records, making up reports, keeping files current.
  • Maintains all personnel records with absolute confidentiality.
  • Processes all re-contracting paperwork.
  • Liaises with Site Administration or Security team for processing security base passes for employees and visitors.
  • Supplies written information from the data on request.
  • Renders assistance in resolving immigration problems, lost baggage queries and claims at the airport.
  • Monitoring of arrival and departure procedures of all company employees.
  • Initiates documentation for all new hires.
  • Initiates documentation and process demobilizations.
  • Ensures a flexible approach to working hours through on call and out of hours responsibilities.
  • Performs other duties as assigned.
  • Works in normal office environment.

Minimum Requirements

  • Must have outstanding customer service and organizational skills and be able to understand, speak, read and write English at an advanced level.
  • Must be proficient in the use of personal computers and Windows Operating System and Microsoft Office to include as a minimum Power Point, Excel and Word programs.
  • Must be able to multitask and prioritize workload to meet deadlines.
  • Possession of a valid home country driver's license and ability to obtain host nation driver's license required.
  • High School diploma or equivalent required.
  • Five years' experience in a clerical/administrative environment with a minimum of three years' experience in Human Resources required.
  • Light to moderate lifting as required carried out in an office environment.
  • Ability to work overtime as needed and sometimes outside of standard hours.
  • Ability to travel domestically and internationally.

Preferred Qualifications

  • Degree or Certification in Human Resources preferred.
