Purpose/Scope
In addition to secretarial duties (filing, taking phone calls, scheduling appointments, making travel arrangements), this position will provide administrative support to executive staff with office management responsibilities to include budgeting, personnel records and payroll. The Administrative Assistant-Buyer may be required to work independently and is jects requiring research and preparation of briefing charts and other presentation materials.
Responsible for procurement of materials, components, supplies and/or services for the company in accordance with Procurement procedures, contract requirements and federal acquisition regulations.
Responsibilities
~ Establishes source of supply, negotiates price, delivery date, and other necessary commitments based upon authorized requisition and compliance with company policies and federal regulations.
~ Perform purchasing duties including, but not limited to, preparing and executing purchase requested with limited supervision
~ Provides information to the requester that includes communication of procurement actions or status and assists with special requirements.
~ Advise/recommend end-users on commodities and prepare/review vendor solicitations.
~ Coordinate with Shipping/Receiving and Accounting Departments on deliveries and assist in resolving problems.
~ Maintain a filing system for procurement matters.
~ Comply with governmental law, Company and divisional procurement policies and procedures.
~Orders office supplies as required, ensures office automation equipment is in working order, maintains adequate supply of required forms and documents to support work site personnel.
~ Interfaces with other Secretaries/Administrative Assistants to share or coordinate workload.
Minimum Knowledge:
Work Environment, Physical Demands, and Mental Demands:
Office or shop environment with hazardous equipment, moving MHE, obstacles and high-volume activity. Must be able to lift and carry up to 15 pounds for short distances, stoop, bend, kneel, walk, have full dexterity, and correctable vision. Outside work in hot and cold or wet weather is often required. Work environments often have fumes or airborne particles. Noise levels are loud. Protective devices are required to avoid injury.
