The Administrative Assistant, OMSS position will be based at one of three Amentum sites in Iraq and will serve the Operations and Maintenance Support Services (OMSS) contract in support of the U.S. Department of State. This position will be responsible for the daily reports, weekly due outs, monthly reports, general administration, and will report to the OMSS Site Management. The additional duties and responsibilities listed below are representative of the nature and level of work assigned and are not necessarily all inclusive.

DUTIES:

  • Responsible for maintaining a safe workplace and ensuring that safety is the highest priority in the workplace.
  • Comply with all Environmental Health & Safety and Quality Assurance requirements and goals.  Provide information and materials to these divisions as necessary to ensure adequate and legal documentation.
  • Provide a full range of general support services for the OMSS Departments under the direction and supervision of the OMSS Management.
  • Perform all administrative and clerical services necessary in support of the OMSS Departments.
  • Support the OMSS Departments with a full working knowledge of the Contractor/DoS contract.
  • Prepare responses to questions and data requests.
  • Record meeting minutes and host meetings as needed.
  • Develop historical knowledge of the OMSS contract and read contract requirements and SOPs.
  • Develop program support using MS Word, Excel, Access, Project, Outlook, and PowerPoint as necessary in order to facilitate tracking of personnel and project status requirements, data, and reports.
  • Translate reports and conversations from Arabic to English and vice versa.
  • Perform additional duties and projects as assigned.

REQUIRED:

  • Minimum Acceptable Experience Level: Five (5) years’ experience in an administrative role in a professional office environment.
  • Knowledge, Skills, and Abilities:
    • Ability to work in a fast-paced environment that requires handling multiple tasks at a given time and rapidly adapting to changing priorities and schedules.
    • Cross-cultural sensitivity with an international perspective.
    • Excellent organizational and time management skills.
    • Expert computer skills, specifically in Microsoft Word and Excel.

  • Ability to comprehend contractual language, SOPs, and policies.
  • Ability to accurately record meeting minutes and communicate via English writing.
  • Expert communication skills to facilitate and disseminate information
  • Education: A high school diploma or GED.
  • Licenses and Certifications: None.
  • Security Vetting: Must obtain a favorable RSO Certification as required by the position. Must maintain eligibility at the required security level for the duration of the contract.
  • Language Skills: Satisfactory English proficiency to meet job requirements and to adhere and comply with safety, health, and security measures.
  • Medical: Favorable passage of a drug screen and physical examination.

DESIRED:

  • Relevant administrative type experience.
  • Previous U.S. embassy experience is highly desirable.
  • Experience working with Amentum and U.S. Department of State programs.
  • General knowledge of OMSS trades and their general practices (carpentry, custodial, electrical, Housekeeping, etc.).

OTHER KNOWLEDGE, SKILLS AND ABILITIES:

  • Knowledge of principles and processes involved in supporting contract responsibilities at a diplomatic facility.
  • Experience providing excellent customer services.
  • Ability to become an active and functioning member of a team.
  • Must have the ability to be innovative and be an agent for change.
