Purpose and Scope: 

Prepare invoices for submission to the government, provide analysis of billing operations, and monitor customer funding levels. Communicate all results effectively and efficiently to management.

Essential Responsibilities:

  • Review invoice transactions and recommend corrections when necessary
  • Audit the accuracy of the billing information on the invoice, invoice backup report, and within the work management system, Maximo
  • Prepare invoices to be submitted to the government within a definitive deadline
  • Monitor billing operations and provide analyses to maximize effectiveness, efficiency, and accuracy
  • Develop solutions to billing issues and implement new systems designs where needed
  • Work on billing projects with the Business Office
  • Monitor funding for all customers on a weekly basis
  • Forecast future operations and funding requirements on a weekly basis
  • Prepare a 5-year forecast for such customers on an annual basis
  • Track materials ordered for customers and ensure proper billing
  • Maintain a list of authorized personnel permitted to order services against customer funding
  • Participate in other research or analysis required by the Business Office
  • Perform all other position related duties as assigned or requested.

Minimum Position Knowledge, Skills, and Abilities Required:

Bachelors degree in related field and at least 5 years of job-related experience, or equivalent. Good written communication skills; working knowledge of Microsoft Office applications and Maximo; organizational skills and ability to perform detail-oriented work are required.  Must be able to pass a National Agency Check with Inquiries (NACI).

Preferred Position Knowledge, Skills, and Abilities:

At least 5 years of job experience working within Maximo; strong Microsoft Excel skills to include formulas and pivot tables; ability to juggle multiple priorities and/or conflicting deadlines; introductory accounting knowledge.

Work Environment, Physical Demands, and Mental Demands:

Typical office environment with no unusual hazards, occasional lifting to 20 pounds, constant sitting while using the computer terminal, constant use of sight abilities while reviewing documents, constant use of speech/hearing abilities for communication, constant mental alertness, must posses planning/organizing skills, and must be able to work under deadlines.
